The Front Desk Administrator and Administrative Assistant serve as the first point of contact for parents, students, staff, and visitors, while also supporting the administration team in managing daily administrative operations.
Key
Responsibilities:
Front Desk Operations:
Welcome and greet parents, students, staff, and visitors in a friendly and professional manner.
Answer phone calls, respond to inquiries, and provide general information about the school.
Manage incoming and outgoing mail, packages, and deliveries.
Maintain the front desk area, ensuring it is organized and well-presented.
Parent and Visitor Support:
Assist parents with inquiries related to admissions, enrollment, and general school information.
Schedule appointments and manage the calendar for meetings with administration staff.
Coordinate visitor access, issue visitor badges, and maintain visitor logs.
Provide guidance and support to visitors, directing them to the appropriate locations within the school.
Administrative Support:
Assist the administration staff with various administrative tasks, including data entry, document preparation, and filing.
Coordinate and schedule meetings, appointments, and events for administration staff.
Assist in organizing and maintaining administrative files, records, and documentation.
Prepare and distribute memos, letters, and other communications on behalf of the administration staff.
Student Attendance and Records:
Manage student attendance records, ensuring accurate and timely recording of attendance data.
Maintain student records, including enrollment forms, emergency contact information, and health records.
Assist in the coordination of student registration, withdrawal, and transfer processes.
Collaborate with teachers and staff to communicate student attendance-related matters.
Communication and Correspondence:
Manage email correspondence, routing messages and inquiries to the appropriate staff members.
Assist in drafting and proofreading communications, memos, and announcements.
Prepare and distribute school-wide communications, newsletters, and updates.
Maintain accurate and up-to-date contact lists for parents, staff, and other stakeholders.
General Office Support:
Maintain office supplies inventory and place orders as needed.
Coordinate and schedule maintenance and repairs for office equipment.
Assist with the coordination of school events, meetings, and workshops as required.
Provide administrative support to other departments or teams as needed.
Support the transition to the after-school program and classroom coverage as needed.
